Month-Of- Planning Package-Meetings

       A WELCOME MEETING

  • Will be held in person or virtually between the Client and Principal Coordinator (PC) to discuss current wedding details. This meeting will be to determine where The Client is in their planning process and set expectations for their planning journey together. The Client and PC will discuss the venue, vendors, budget, and aesthetics, as well as answer any questions the Client may have. Following this meeting, the PC will share access to a Google Drive with custom planning checklists and all necessary planning documents.

       A MASTER TIMELINE MEETING

  • Will be held (in person or virtually) to create a timeline of the wedding day, including pre and post-wedding details. The Master  Timeline will include all logistics for the rehearsal and wedding days. Following this meeting, The Client will have access to view and edit the Master Timeline as needed. Once the Master Timeline is finalized, the PC will distribute it to the team of vendors working on the wedding day.

 

      COORDINATION

  •  The WEDDING REHEARSAL: The Coordinator will manage and oversee a practice run of the wedding ceremony - including the processional, the ceremony (including readings, unity ceremonies, songs, etc.), and the recessional. The Coordinator will also be available to answer any questions and to share any additional information.

  •  The WEDDING DAY: The Coordinator and two assistants will set up decor, check in vendors, oversee setup details, discuss the Master Timeline as required, etc. The Coordinator and a team of assistants will expertly manage and execute day-of events. Once the wedding concludes, the PC will remain to pack up any remaining items the Client would like to keep, check out each vendor, and do a final walk-through of the venue with the onsite Coordinator.

      ASSISTANCE

  •  Personal Planning Hours I In addition to the progress meetings, the Client will have access to the Coordinator to help perform any tasks pertaining to wedding planning. This includes, but is not limited to, scouting venue locations for rehearsal dinner, welcome party, post-nuptial brunch, ceremony, and reception, assisting with mock-up meetings with vendors, meal tastings, hotel room blocks, transportation arrangements, budget, welcome bag stuffing, invitation assembly, signage, website creation, rsvp management, rentals pick up, dress fittings, late-night bites, etc. After creating the Master Timeline, the PC will reach out to each vendor to confirm logistics and vendor arrival times. The PC will be available to clarify details and answer questions from vendors, quests, and the bridal party. Once the Master Timeline is finalized, the PC will distribute it to the Client and team of vendors.

  •  The Wedding day: The Coordinator and two assistants will set up decor, check in vendors, oversee setup details, discuss the Master Timeline as required, etc. The Coordinator and a team of assistants will expertly manage and execute day-of events. Once the wedding concludes, the PC will remain to pack up any remaining items the Client would like to keep, check out each vendor, and do a final walk-through of the venue with the onsite Coordinator.

 

 

Full Planning Package

 

       MEETINGS

The Client and PC will discuss the venue, vendors, budget, and aesthetics, as well as answer any questions the Client may have. Following this meeting, the PC will share access to a Google Drive with custom planning checklists and all necessary planning documents.

  •  UNLIMITED PROGRESS MEETINGS (Progress meetings can be done over the phone or virtually.) The PC will update respective checklists with the Client regarding tasks that have been completed and discuss upcoming action items. This may include brainstorming new ideas, reviewing the budget, providing vendor feedback and referrals, etc.

  • VENUE TOURS will be conducted once the venue has been secured and can be done in person or virtually. The initial venue tour typically will follow the Welcome Meeting. The Client may request additional venue tours at any time during the planning journey. The final venue tour will take place closer to the wedding date after all vendors have been secured and all design elements have been discussed. The Client is welcome to invite any vendor to join this meeting. *If a venue has not been selected at the time of signing, the PC will tour up to three potential venues with the Client.

ASSISTANCE

  •  The Client will have unlimited email and phone correspondence between the Client and the Principal Coordinator to ask any questions or provide any updates. * Phone meetings are required to be scheduled a minimum of 72 hours ahead of time.

  •  Following the Welcome Meeting, the PC will provide the Client with a list of vendor recommendations. The Client can request for the PC to send introduction emails and schedule consultations for all vendors. If the Client is unable to meet with any vendors, he/she will be responsible for relaying all needs and wants to the PC. The PC will conduct meetings with the vendor and obtain proposals/contracts, review each contract and negotiate with each vendor, and then present vendor options for the Client to make the final decision. The Client can request for the PC to remain a point of contact for all vendors from the initial meeting to the wedding day.

  • After the venue tour, the Coordinator will work together with the Client to discuss wedding staging and create floor plans for the ceremony, cocktail hour, and reception for the wedding day.

  •  After the creation of the Master Timeline, the PC will reach out to each vendor to confirm logistics and vendor arrival times. The PC will be available to clarify details and answer questions from vendors, quests, and the bridal party. Once the Master Timeline is finalized, the PC will distribute it to the Client and team of vendors.

 

     PLANNING TOOLS

  • The Principal Coordinator will share a personalized Google Drive Folder. The Client will be given access to upload any vendor contracts, planning documents, inspiration photos, etc. And will have access to view and edit the following documents:

  4. Vendor Recommendations

  5. Budget Spreadsheet

  6. Wedding Action Plan

  7. Vendor Tracking Spreadsheet

  8. Guestlist Tracking Spreadsheet

  10. Payment Due Dates

  11. Meeting Dates Tracking

  12. Additional documents with help planning tips

COORDINATION

TERMS:

50% of the package total is due upon booking (the wedding date is not considered a secure booking until payment is received and the contract is signed). The remaining balance is due on the date of the rehearsal dinner (or the day before the wedding date).
